About the Projects Tab

The Project tab appears in every Proliance document that can be linked to a project. Use this tab to:

• View a list of projects currently linked to the document.
• Create, view and delete project links.
• Restrict the projects that child items of the current document can link to.

The number of projects the current document is linked to is indicated in the title of Project tab.

When project functionality is enabled in Proliance, links between projects and other Proliance documents take on additional importance. When you link a document to a project, Proliance enforces an additional layer of security for the document, depending on the user's project settings. For example, documents linked to a project can be hidden from users who are not themselves explicitly linked to that project. In this way, access to project-related documents is restricted to only those users who are "in" the project by being linked to it.

Linked Projects

The Linked Projects section on the Projects tab contains two areas. The top area contains two radio buttons, and the bottom area, a grid. The radio buttons control whether the current document is linked to all projects in the workspace, or only specific projects. The grid lists specific projects that are linked to the current document.

The status of the radio buttons determines the linking of projects not specifically listed in the grid:

• Linked to all Projects. Projects listed below may have links with additional information. When selected, this setting links the current document to all projects within the workspace, regardless as to whether these projects are explicitly listed in the grid. Optionally, you can add project links to the grid in order to enter more descriptive information about the link. Otherwise, the status of the project link is the same as those not appearing in the list.
• Link only to Projects listed below. This setting links the current document to only those projects explicitly listed in the grid. All other projects are not linked to the current document. When Link only to Projects listed below is selected and the grid is empty, the current document is not linked to any projects.

The grid displays the following columns:

• Title: The string of characters that uniquely identifies the related project.
• Number: A unique number that identifies a project link.
• Notes: Notes that further describe the project.
• UDF Fields: User defined fields that can be used for customized Proliance applications. UDF fields are available for lookup values, text, numbers, currency, date, time, boolean and memo fields.

The following table summarizes the actions available on the Projects tab. These actions are determined by the permissions in your security role.

Project Settings

The Project Settings section appears on the Projects tab for Proliance document types that are used to manage child line items:

• Cost Accounts
• Scope
• Transfers
• Expense Contracts
• Expense Change Orders
• Expense Pre-Commit Invoices
• Expense Auto-commit invoices
• Cost Events
• Meeting Minutes
• Schedules

The Project Settings section provides the option of enforcing project linking restrictions on the child line items of the current document. This section allows you to choose Yes or No in the Restrict Projects that Child Items Can Link To field.

If you select Yes, the current document can only be saved if both the parent document and child line items have the same project links in common. When choosing a project to associate to a line item, Proliance makes choosing the appropriate project easier by limiting the list of projects available to only those that are currently linked to the parent document.

If you select No, the child items of the current document can be associated with any project in the workspace that you have permissions to link to. These project links will be automatically be applied to the parent document if they don't already exist there.
